Nothing matters more than the safety of children on the road. Whether it is a museum visit in Sharjah, a desert camp in Al Ain, or a theme-park day at Ferrari World, the transport company you choose carries an enormous responsibility. This guide walks school administrators, teachers, and parent committees through exactly what to demand.
Start with licensing and insurance — no exceptions
In the UAE, passenger transport is regulated, and school transport faces extra scrutiny. Before anything else, confirm that the company holds a valid commercial transport licence for passenger buses, that each vehicle assigned to your trip is properly registered and insured for passenger transport, and that drivers hold the correct UAE heavy-vehicle driving licences. Ask for copies — a professional operator provides them without hesitation. If a company is vague about paperwork, walk away. No price discount is worth the risk.
Choose the right vehicle for the age group
Vehicle choice affects safety directly. For primary-school children, a Toyota Coaster (22–34 seats) or 35-seat bus keeps the group small enough for teachers to supervise effectively. For secondary students, the 51-seat Higer luxury coach works well — high-back seats, seatbelts, and good visibility for headcounts. Avoid overloading minibuses: every child must have a proper seat, no exceptions, no "just this once." Ask about the vehicle's age and maintenance record; a well-maintained bus with documented servicing is non-negotiable for school trips. Our guide to picking the right bus size covers capacity planning in detail.
Vetting the driver
The driver is the single most important safety factor. Ask the transport company: how many years of UAE driving experience does the assigned driver have? Are drivers trained in defensive driving? Will you get the driver's name and contact number before the trip? Professional companies assign experienced, background-checked drivers to school trips as a matter of policy — and they brief the driver on the route, the schedule, and the school's rules (no phone use while driving, speed limits, designated rest stops) before departure.
Plan the route like it matters — because it does
Share the full itinerary with the transport company at least a week before the trip: every stop, every timing, every pickup point. The driver should know the route in advance, not navigate it for the first time with thirty children on board. For longer trips — Abu Dhabi, Al Ain, the east coast — plan a rest stop every 90 minutes. Confirm parking arrangements at each destination; many attractions have designated coach bays, and the driver needs to know exactly where to wait. Build buffer time into the schedule so nobody is rushing.
Supervision, headcounts, and communication
Agree the supervision plan with the school before the trip: ideally one teacher per 10–15 students, with a designated trip leader who holds the driver's number and the transport company's dispatch number. Do a headcount every single time students board — leaving a venue, after each rest stop, before departing. Share the bus's live location with the school office if GPS tracking is available. And establish one simple rule with students: stay seated with seatbelts on while the bus is moving.
What to ask before you book: the checklist
Use this when comparing companies: (1) Show me your transport licence and vehicle insurance. (2) How old are the buses you will assign, and when were they last serviced? (3) Who exactly will drive, and what is their experience? (4) Do you provide a backup vehicle if there is a breakdown? (5) Can parents or the school office track the bus live? (6) What is your policy on driver phone use and speed limits? A company that answers all six clearly — like we do — is a company you can trust with your students. FAQ
How far in advance should a school book trip transport? For regular day trips, 2–3 weeks is comfortable. For large multi-bus trips or peak-season dates (winter months), book 4–6 weeks ahead to secure the best vehicles.
Can teachers ride along to supervise? Absolutely — and they should. Teacher seats are always included in the headcount; just tell us the total number of students plus staff when you book.
What about students with special needs? Tell us in advance. We can assign buses with easier step access and brief the driver on any specific requirements for boarding and seating.
Do you do regular school routes, or only trips? Both. Many schools use us for daily pickups as well as one-off trips — monthly contracts for school staff and student routes work exactly like our staff transport contracts.
Book your school trip transport
Tell us your school, student count, destination, and date — we will assign the right bus, an experienced driver, and a clear safety plan. Parents trust you with their children; we take that seriously.
