Corporate events run on invisible infrastructure, and transport is the most invisible — until it fails. A delayed shuttle bus at a Dubai conference doesn't just inconvenience people; it delays keynotes, empties networking sessions and becomes the thing attendees remember.
After years of moving corporate groups across the UAE, we have seen every mistake in the book. Here are the ten that matter most — and exactly how to avoid each one.
Mistakes 1–2: Booking Too Late, Undercounting Heads
Mistake 1: Leaving transport to the last two weeks. December to March is Dubai's conference high season, and quality coaches get booked out. For 100+ delegates, start 6–8 weeks out; for smaller groups, a month. Last-minute bookings are sometimes possible, but you lose choice of vehicles and time slots — the two things that make corporate transport smooth.
Mistake 2: Counting only registered delegates. The real headcount includes speakers, crew, sponsors, plus-ones and the "we'll figure it out" VIPs. Add 10–15% buffer to every number you are given. Four empty seats cost almost nothing; one stranded group of executives costs reputation.
Mistakes 3–4: Ignoring Venue Access, Skipping the Buffer
Mistake 3: Never checking how coaches actually reach the venue. Dubai's big venues — DWTC, Expo City, Coca-Cola Arena, hotel ballrooms on the Palm — each have specific coach access points, and some require permits or security pre-clearance. A provider who hasn't scouted your venue is guessing. Ask outright: "Have your drivers been to this venue before?"
Mistake 4: Scheduling transfers back-to-back with sessions. If the keynote ends at 5:00, the bus cannot "leave at 5:00" — it takes 15–20 minutes just to empty a conference hall. Build 30-minute buffers between the last session and any departure, and never plan a gala transfer tighter than 45 minutes after the day program ends.
Mistakes 5–6: Forgetting the Return, Chasing the Cheapest Quote
Mistake 5: Planning arrivals and forgetting departures. The gala ends at midnight; 300 tired delegates need to get to six different hotels. Return legs need the same planning as arrivals — vehicle counts, hotel groupings, staggered departure times. The number one corporate transport complaint in Dubai is not the arrival. It is the midnight chaos.
Mistake 6: Choosing the cheapest quote. A quote 20% below market usually means old vehicles, no standby bus, or a driver paid per trip (guess whose incentive is to rush?). For corporate events, reliability is the product. Ask what the price includes — fuel, Salik, waiting time, overtime terms — and compare properly. Our bus rental cost guide explains honest pricing.
Mistakes 7–8: No Single Contact, No Driver Briefing
Mistake 7: No single point of contact on the day. When the driver, the event planner, the venue and three executives all have different plans, nothing moves. Nominate one transport coordinator with authority, and give the transport company's dispatcher that person's number — and vice versa.
Mistake 8: Not briefing the drivers. Drivers need more than an address: the event name for security gates, the exact drop-off point (not "the hotel" — which entrance?), the timetable, and the coordinator's phone number. A five-minute briefing document prevents an hour of confusion. Professional companies ask for this; insist on it.
Mistakes 9–10: One Vehicle Type, Zero Contingency
Mistake 9: Using one vehicle type for everyone. Executives, speakers and general delegates have different needs and schedules. Mixing a few premium cars or a V-Class for VIPs with coaches for delegates is standard — and often cheaper than upgrading everyone.
Mistake 10: No contingency plan. What if a bus breaks down? What if 50 extra people show up? What if the Sheikh Zayed Road closure reroutes everything? Ask your provider: "What is your backup plan?" A serious operator has standby vehicles and a dispatcher watching traffic in real time. If the answer is a shrug, keep looking — our checklist before hiring a bus company covers vetting in full.

Frequently asked questions
How early should we book corporate event transport in Dubai? 6–8 weeks for 100+ delegates in peak season (Dec–Mar); 3–4 weeks otherwise. Small executive movements can often be arranged in days.
Can you handle multi-hotel pickups? Yes — this is standard for conferences. Share the hotel list and delegate counts per hotel; we build optimised routes and shuttle loops.
Do you provide a coordinator on-site? For large events we assign a dedicated dispatcher reachable throughout the event, plus driver briefing documents. On-site coordinators can be arranged for complex programs.
What are the overtime terms if our gala runs late? Agreed in writing before the event — never a surprise at midnight. Ask for the hourly overage rate in your quote.
